Utilizing Custom Fields

This article explains how to manage custom fields and their data.

To create a custom field in Built:

Note: Only Company Admins and HR Admins can create custom fields. To learn more, refer to: Understanding User Roles & Permissions.

  1. Click your company name at the top of the main navigation, then click Company Settings.

  2. Click the Fields tab.

  3. Click the Add Field button in the upper right corner of the page.

    Notes about adding a custom field:

    •If you’re a customer of our Position Management module, you’ll be asked whether the custom field you’re adding is related to People, Positions, or Assets.

    •If the Add Field button does not appear on your Fields tab, please contact our Customer Success Team to confirm that your plan includes custom fields.

  4. Enter the name of your new custom field.

  5. Enter an optional description.

  6. Click the Field Type dropdown to select Short Text, Numeric, or Currency.

    Note: You cannot edit the field type once you create the custom field.

  7. For people or positions custom fields, select the appropriate settings.

    •Click the Required toggle to specify if you’d like to require the custom field.

    •Select who employees can view this field's data for.

    •To allow color coding by this field on the org chart, click the toggle.

  8. Click Save. You can now utilize your new custom field when importing your people or position list or manually entering data.

To manually enter custom people data in a person's profile:

Note: Viewing and editing privileges for people and positions vary based on role permissions. To learn more, refer to: Understanding User Roles & Permissions.

  1. Navigate to a person's profile by entering their name or title in the Jump to a Profile field and clicking their name in the list that populates.

  2. Click the Custom Fields tab.

    Note: If the tab is not visible, click the More dropdown, then click Custom Fields.

  3. Click the Edit button and enter the appropriate data.

  4. Click Save.

To manually enter custom field data for a position:

  1. Locate a position by searching the org chart.

  2. Hover over the position card to reveal the three-dot menu.

  3. Click Edit Position, then click the Custom Fields tab.

  4. Enter the appropriate data and click Save.

Note: You can also edit custom position data from the Positions table. To do this, navigate to the Positions page from the main menu and click the Positions tab. Click the Position ID dropdown for a specific position. Click Edit Position and follow the steps above.

Once saved, you can utilize your custom field data when analyzing reports, applying org chart visualization tools, and exporting people and positions.

To manually enter custom field data for an asset:

(Available to customers of our Position Management module.)

Note: Only Company Admins, HR Admins, HR Managers, and Assets Admins can manage asset data for everyone.

  1. Navigate to the Assets page from the main menu.

  2. Click the three-dot menu next to an asset, then click Edit.

  3. Make the appropriate changes before clicking Save.

Notes about managing custom asset data:

•Company Admins, HR Admins, and HR Managers can also manage a person’s assigned assets from their profile. Limited Admins can manage assets assigned to their subordinates and/or the subordinates of other specified positions. To do this, navigate to a person’s profile by entering their name or title in the Jump to a Profile field and clicking their name in the list that populates. Click the Assets tab, then click the three-dot menu next to an assigned asset, and click Edit to make the appropriate changes before clicking Save.

•Assets data cannot be updated via CSV import.

To edit or delete a custom field:

  1. Click your company name at the top of the main navigation, then click Company Settings.

  2. Click the Fields tab.

  3. In the Custom Fields list, click the Field Name dropdown.

•Click Edit to update the name, description, and/or settings before clicking Save.

•Click Delete if you want to permanently remove the custom field from Built. Click the Delete button to confirm this action.

Note: Deleting a custom field deletes all associated data from positions and/or people's accounts. This action cannot be reversed.
