Adjusting Visibility Settings in Scenario Charts

Control who can view and edit a scenario chart.

For customers of our Advanced Org Design, Position Management, and Succession Planning modules.


Creating and managing scenario charts allows collaborators to draft organizational changes without impacting the official chart. This article explains how to select who can view and edit a scenario chart.

To set the visibility permissions of a scenario chart:

Note: Only collaborators assigned to a scenario chart can adjust the chart’s visibility permissions.

  1. From the main menu, navigate to the Org Chart page and click the chart dropdown to select or create a scenario chart.

  2. Click the visibility (eye) icon in the upper right corner of the page.

  3. Select who this chart will be visible to—Collaborators Only or All Employees.

    Note: Selecting All Employees will allow any person with a Built account to view the scenario chart, but only assigned collaborators can edit the chart.

  4. To assign collaborators, enter individuals' names in the Collaborators field. The system will suggest people based on the characters entered. Click on a person to add them as a collaborator, or click an X to remove a collaborator.

    Note: If a collaborator is also an assigned chart approver, the collaborator will be labeled “Approver.” All other collaborators will be labeled “Editor.” To learn about assigning chart approvers, refer to: Configuring Approvers for a Scenario Chart.

  5. Click Save. Collaborators will receive an email notification when added to the scenario chart.

    Note: When adding people to your account from a position in a scenario chart, the person and their position will not be searchable via the search field in the upper left corner of other charts. However, the person’s profile will be searchable via the Jump to a Profile field at the top of the main menu. The person’s data will also appear on your People list, reports, and exported data files.

To share a link to a scenario chart:

  1. When viewing the scenario chart, click the visibility (eye) icon in the upper right corner of the page.

  2. Click the Link Sharing toggle.

  3. Click the Copy Link button.

    Note: A link allows anyone inside or outside of the organization to view the scenario chart. To limit access to the chart, click Restrict access to specific IP addresses.

  4. Click Save to enable link sharing. The link you copied will not be active until saved.

  5. Paste the link anywhere you’d like to share the scenario chart.
