Understanding User Roles & Permissions

Control who can see and edit your important data.

Built allows you to grant administrative privileges to your individuals through various roles. To manage permissions, click your company name at the top of the main navigation, click Company Settings, then click the Permissions tab. The following table shows the different roles available and the special permissions each role includes.

*By default, people without administrative permissions can view limited data for all individuals and view, but not export, the org chart. By adjusting your company's org chart permissions, you can limit who is visible and allow people to export the org chart.

Here's an explanation of each role, in order from most powerful to least powerful:

Company Admin

The Company Admin role has full access to everything within the system. A person with the Company Admin role does not need to be granted the HR Admin or Asset Admin roles. This role automatically includes all other roles. This is the only role capable of managing the company's billing information. Company Admins can always view/edit compensation information for all employees.

HR Admin

HR Admins can view and change everything within the account, except for managing billing information. You can also decide whether or not an HR Admin should have the ability to view/edit employee compensation information.

HR Manager

A person with the HR Manager role can add or delete employees, modify all employee data, and approve or deny all PTO requests. He or she also has full access to the Recruiting feature, if available on the company's chosen plan.

A person with this role does not have access to the account's billing information, nor to any of the company settings, nor to any reports. The ability to view/edit compensation information for all employees can optionally be added to this role.

Limited Admin

By default, a Limited Admin can view and edit data for their subordinates. Alternatively, Limited Admins can be configured to view and edit data for other managers’ subordinates and/or their own subordinates. Permission to manage compensation data for individuals they can view and edit can be added to this role.

Recruiting Admin

A Recruiting Admin can perform all tasks within our Recruiting feature, including creating and managing requisitions and configuring requisition approvers and approval notification recipients.

Asset Admin

The Asset Admin role only has access to the Assets tab in the top navigation. This allows a person with this role to add company assets (such as computers, phones, software licenses, etc.) and manage who those assets are assigned to.

Manager

In Built, a person is automatically a "manager" if they have people reporting to them. You do not need to explicitly give someone "manager" permissions or assign a role; as soon as you add a direct report to a person, they become a manager and have the manager permissions outlined in the table above.
